Direct answer
Write a short brief with three parts: who you write for (your customers or audience), how you sound (tone and words you use or avoid), and the facts AI must get right (products, prices, locations, policies). Keep it under a page, update it when things change, and include it with every prompt, either by pasting it or by using a tool that adds it for you.
Why AI needs context
ChatGPT and Claude know a lot about the world and nothing about your business. Without context they guess your audience, invent a tone and sometimes make up details, such as a delivery area or a price, that sound right but aren't.
What to include
Who you write for
Describe your audience in a sentence or two: "Small business owners in Lagos and Abuja who are new to accounting software."
How you sound
Pick a few tone words ("friendly, plain, no hype") and list any words or claims to avoid.
Facts AI must get right
List the facts that, if wrong, would embarrass you: product names, prices, where you deliver, opening hours, refund policy.
Audience: small business owners in Lagos and Abuja, new to accounting software. Tone: friendly, plain English, short sentences, no hype or exclamation marks. Facts: We deliver within Lekki and Victoria Island only. Plans start at ₦5,000 a month. Support replies within one working day.
Keep it short and current
- Under a page. Long briefs bury the facts that matter.
- Facts, not essays. One line per fact is easier for AI to follow.
- Update it when things change. An out-of-date price in your brief becomes an out-of-date price in every email.
Context matters, but it doesn't replace a clear prompt. Read why you still need better prompts with context.
Stop pasting it every time
You can paste your brief at the top of each prompt, or use your AI app's custom instructions or projects. Both work inside one app.
In PromptPal you save it once as Your style: audience, tone and facts AI should always know. Every prompt PromptPal writes uses it, in ChatGPT, Claude, Gemini or Cursor. PromptPal's Context Engine can also connect tools like Notion, Slack, Jira or Gmail, so prompts can draw on what's already written down.
FAQs
Is it safe to give AI information about my business?
Only share what you'd be comfortable with the AI provider processing, and check its data settings. Don't include passwords, personal customer data or anything confidential in prompts.
Should I use custom instructions or a separate brief?
Custom instructions are fine if you only use one AI app. A separate brief or a tool like PromptPal keeps the same context across ChatGPT, Claude and Gemini.
How long should my business context be?
Usually under a page: two or three lines on your audience, a line on tone and a short list of facts.
