What's the difference between a prompt and a prompt template?

A prompt is written for one task. A prompt template is the same prompt with blanks for the parts that change, so you can reuse it. Here's when to use each and how to turn one into the other.

Direct answer

A prompt is a complete instruction written for one specific task. A prompt template is a reusable version of that prompt with blanks, such as {{customer_name}} or {{topic}}, for the parts that change each time. You fill in the blanks and get a ready prompt. Use a template for any task you repeat; use a one-off prompt for everything else.

A prompt is for one job

A prompt contains everything for a single task: what to do, who it's for, the details and the format. Once the task is done, it's rarely useful again as written, because the details belong to that one situation.

Prompt
Write a 120-word reply to Ada, who asked why her March invoice was charged twice. Apologise, confirm the refund of $40 is on its way within 5 working days, and keep the tone warm.

A template is a prompt you can reuse

A template keeps the parts that stay the same (the structure, tone and rules) and turns the parts that change into named blanks.

Template
Write a {{length}}-word reply to {{customer_name}}, who asked about {{issue}}. Apologise, confirm {{resolution}}, and keep the tone warm. If the resolution isn't clear, ask me before writing.

Fill in the blanks and you get a prompt as good as the one you spent time perfecting, in seconds, every time.

When to turn a prompt into a template

  • You've used a similar prompt three or more times.
  • Other people on your team do the same task, and you want consistent results.
  • The prompt took effort to get right and you don't want to lose what works.

One-off questions, brainstorming and quick lookups don't need templates. Templates pay off for repeat work: customer replies, reports, social posts, code reviews and meeting summaries.

How to turn a prompt into a template

  1. Take a prompt that gave you a great result.
  2. Highlight everything that would change next time: names, dates, topics, numbers.
  3. Replace each with a short, clear blank name in double braces, like {{topic}}.
  4. Keep the instructions that made it work: audience, tone, format and the 'ask me first' line.
  5. Save it somewhere you can find it again, with a clear title and tags.

In PromptPal, any saved prompt with {{blanks}} becomes a template automatically, and you fill the blanks before you copy or use it. The free plan includes 5 templates; Starter and above include unlimited templates.

FAQs

Are prompt templates the same as custom instructions?

No. Custom instructions apply to every chat in an app. A template is for one kind of task and you choose when to use it.

What should I name the blanks?

Use short names that say what goes there, such as {{audience}} or {{product_name}}, so anyone filling it in knows what to write.

Can a template have optional blanks?

Yes. Add a line telling the AI what to do if a blank is empty, for example 'If {{deadline}} is empty, don't mention a deadline'.
